Every property and rentable asset should have one complete record — not nine partial ones held in different systems by different people.

Almost everything else we build rests on this. A payment is only easy to reconcile because it knows which lease it belongs to. A maintenance cost is only meaningful because it knows which unit incurred it. A renewal only surfaces in time because the contract and the calendar are the same record.

Nine things make a record complete. Here is where each of them actually stands today — because a page arguing that partial records are the problem cannot itself describe a partial record as though it were finished.

Identity

What is the asset? The unit, its type, its characteristics — the thing everything else attaches to.

Location

Where is it? Address, building, floor, and the property it belongs to.

Ownership

Who owns it? The owning party, and the structure it sits inside.

Availability

Is it available? Vacant, occupied, pending lease, under maintenance — updated from the lease lifecycle rather than by hand.

Contract

Who is using it? The lease or agreement, its term, its obligations and its renewal date.

Financial

What financial activity is attached? Invoices, payments, allocations, receipts and what remains outstanding.

Operations — partly

Maintenance requests, vendor assignment and resolution history are attached to the unit today. Full cost roll-up against the asset is thinner than it should be.

Documents — not yet

The record should hold every agreement, certificate and supporting file. There is no document store in the product yet, so today this facet is empty. It is the next thing being built.

Lifecycle — partly

Renewals, expiries and upcoming dates are tracked. The forward-looking view — what happens next across the whole portfolio — is not built.
